Hoopoe Share respects your privacy. This policy explains what personal information we collect when you use our website or contact us, how we use it, and the choices and rights you have.

Who we are

This website is run by Hoopoe Share Literacy Foundation (HSLF), referred to as “Hoopoe Share”, “we”, “us” or “our”. We are responsible for the personal information we collect through this website.

Information we collect

When you email us: your name, email address and anything else you choose to include in your message.

When you request a conversation through our website form: your email address, and any further details you share with us afterwards.

When you make a donation: your payment is handled by a third-party payment provider, which collects your payment details. We never see or store your full card details. We receive the information we need to thank you and to send receipts, such as your name, email address and the amount of your gift.

When you use the online library: if you log in to the Hoopoe Share library, your account details are handled by the library platform.

When you browse the website: we see aggregated visitor statistics, such as which pages are popular. These do not identify you personally. Our Cookie policy explains this in more detail.

Children

Our stories are for children, but this website is designed for parents, carers, teachers, librarians and supporters. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, please contact us and we will delete it.

How we use your information

We use your information to reply to your messages and requests, to process your donations and send receipts, to keep the records we are required to keep by law, to build relationships with funders and partners who contact us, and to understand how our website is used so we can improve it.

We will only send you news or appeals if you have agreed to receive them, and you can opt out at any time.

We never sell your personal information.

Our legal basis

Where data protection laws such as the UK or EU General Data Protection Regulation apply, we rely on one or more of the following: your consent; our legitimate interests in running our charity and responding to supporters, as long as these do not override your rights; the need to meet our legal obligations, for example keeping donation records; and, where relevant, the need to carry out an agreement with you.

Who we share it with

We only share your information with organisations that help us run our work, such as our website host, email provider, donation payment provider and online library platform. They may only use it to provide their services to us.

We may also share information with professional advisers or with authorities where the law requires it.

Some of these providers may store information outside your country. Where this happens, we make sure appropriate safeguards are in place.

How long we keep it

We keep personal information only for as long as we need it for the purposes described above. Donation records are kept for as long as tax and accounting rules require. After that, we delete or anonymise the information.

Your rights

Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to ask us to correct or delete it, to object to or restrict how we use it, to ask us to transfer it to you or someone else, and to withdraw your consent at any time.

If you are unhappy with how we have handled your information, you can also complain to your local data protection authority. In the UK this is the Information Commissioner’s Office (ICO).

Keeping your information safe

We take appropriate technical and organisational steps to protect your personal information from loss, misuse and unauthorised access. However, no method of sending information over the internet is completely secure.

Links to other websites

Our website links to other websites, such as book retailers, our donation payment provider and the online library platform. These organisations have their own privacy policies, and we are not responsible for how they handle your information.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
